Customer Operations Specialist - Order to Cash
Principal Accountabilities:
This role may focus on some or all of the accountabilities below, depending on operational requirements.  Businesses serviced include but are not limited to: Global Commercial, Commercial Fleet and Retail.  These activities cover all Customer levels including Key Accounts and Platinum Customers.

 

  1. Order Management:
  • Place, amend and orders, liaising with other service partners in LSC, OTD & Credit as required.   Apply the appropriate freight charges and surcharges as required
  • Provide change information of planned shipments to schedulers and scheduling admin team, particularly to VMI Customers
  • Manage Delivery Status – take ownership of delivery status enquiries and trouble-shooting; proactively tracking and Business Partners as required
  • Delivery Schedule Support Service - proactively  call out to Customer, to manage Delivery issues
  • Schedule standard and non-standard orders (packed product)
  • Process Returned Product
  1. Credit Management
  • Debt Collection & Cash Allocation - Administer debt collection, including direct debit rejections, allocations, refund/write-off/write on management, Cash and non-cash security handling
  • Block Order Management – Monitor open orders, review order status and action blocked orders
  • Handle basic Customer credit enquiries
  1. Dispute Management:
  • Own the end to end Disputes process for Quantity, Pricing, Tax and Master Data Disputes.  This includes logging of dispute, undertaking initial investigation and root cause analysis, liaising with key interfaces to resolve disputes. Close the loop with Customer on case outcome and confirm  closure of case
  1. Feedback and Issues:
  • Manage Customer complaints feedback and compliments.  Liaise with resolution owners, and  other Service Partners as required.  Close the loop with customers
  1. Lubricant Service Administration:
  • Provide basic Customer advice about the scope of the Lubes Analyst Play Book, escalate any consultative advice to Technical Helpdesk.  Coach Customers on how to use the Shell Lubes Analyst systems when recording new machines and oil samples
  1. Manage elements of the DFOA process:
  • Manage and monitor Customer & Distributor complaints mailbox through to resolution.
  • Ensure DFOA related ordering issues are visible and managed in accordance to service level agreement
  1. Touchless Support and Setup:
  • Support and proactively encourage touchless uptake and utilisation
  • Act as first level support for system interface errors
  • Act as a touchless setup lead in system-to-system setup with existing Customers (BCI, EID, OCR, EDI).  Work with Customer IT teams to resolve issues and manage internal processes.
  1. Fraud Support
  • Monitor account and payment transaction activity to identify incidents of Fraud. 
  • Support Fraud Managers with fraud case information requirements 
  1. General Inquiries :
  • Handle New Business - Receive request for information or quotation from potential new Customers and connect them to the appropriate contact within Shell

Finance Officer

Core Functions / Responsibilities:
1. Support in the monitoring and tracking of funding resources, transactions and project

expenditures and undertake financial analysis of resources managed by the mission and

provide information as required.

2. Support the revision, development and implementation of new/revised work methods,

standard operations procedures and systems.

3. Support the RMO in liaising with other internal organizational units of the Mission in the

performance of the finance functions and facilitate the activation of new projects.

4. Support the RMO in the preparation of the annual budget and Project Managers with projects'

budgets. Monitor the budget control process and analyze variances between budgets and actual

expenditures on monthly basis and assist in the preparation of budgets for new projects.

5. Provide technical support to project managers throughout the project cycle to ensure

compliance with IOM's policies and procedures and any donor-specific requirements.

6. Monitor service fees mission projects and ensure proper financial reporting in coordination

with the programme units.

7. Assist the RMO in forecasting cash flows according to activities in the Mission and ensure

funding is received in accordance with donor agreements.

8. Inspect payroll versus budgets, ensuring that staff salaries are correctly allocated to projects

consistent with IOM's projectization criteria and budget lines nature and funding. Facilitate the

payroll of Country office in coordination with RMO.

9. Ensure that interim and final donor financial reports are in accordance with IOM regulations

and established procedures.

10. Act as focal point for audits and verifications and other ad-hoc reports by ensuring that

required documentation is available in a timely and effective manner including archived

documents.

11. Ensure adequate application of IOM's administrative instructions, and application of internal

control procedures to safeguard the Organization's assets, control cash and prevent fraud.

Notify the RMO of unusual transactions and delays impacting timely reporting and recommend

remedial action.

12. Assist the RMO in the development and implementation of new/revised work methods,

procedures, and systems and training for staff.

13. Create and facilitate teamwork and assist the RMO in training staff in the field of budget and

finance, in accordance to IOM procedures and regulations.

14. Perform such other duties as may be assigned.


Required Qualifications and Experience:
Education

  • Master's degree in Finance, Commerce, Accounting, Business Administration or a related field
from an accredited academic institution with two years of relevant professional experience; or,
  • University degree in the above fields with four years of relevant professional experience.
  • Professional certification as chartered accountant (CA) or certified public accountant (CPA),
Chartered Institute of Management Accountants (CIMA), or Association of Chartered Certified

Accountants (ACCA) will be a distinct advantage.

Experience

 
  • Professional experience in financial management;
  • Experience in accounting and budgeting;
  • Knowledge of IOM/UN regulations, policies and procedures;
  • Knowledge of International Public-Sector Accounting Standards (IPSAS);
  • Experience with SAP is highly desirable; and,
  • Ability to prepare concise and clear reports.
Languages

Fluency in English is required. Working knowledge of Arabic, French and/or Spanish is an

advantage.

Other:
Internationally recruited professional staff are required to be mobile.
