Vacancy: Office Manager
Job Description:
We are Seeking to hire an Office Manager who is responsible for the efficient and best in class operational management ( soft and hard services) for the mall, and customer service with emphasize on quality service standards, efficient management and safety for all stakeholders. Your Job responsibilities will be including but not limited to :
• Management of GM's calendar, scheduling of appointments and updating of contact lists.
• Providing secretarial support to the GM by encoding correspondences, reports & documents, handling or screening of incoming calls and visitors, setting meetings with various departments, clients etc.
• Taking dictations for memos, drafting letters and posts.
• Organizing internal and external meetings.
• Managing inventory of office supplies – business cards, envelopes, letterheads and stationery. Ensure supplies are reviewed regularly and adequately stocked in the store to meet the requirements.
• Managing entire filing system and ensuring all files are labelled and documents are filed.
• Follow-ups with different departments, companies, persons on any pending documents as requested by the GM.
• Managing all inward and outward correspondence of the GM's Office in order to ensure timely and accurate receipt.
• Communicating information with internal colleagues and external clients / vendors when required and responsibility for transferring correct information, inquiries, complaints or messages to Senior Management.
• Ensure effective transfer for files and records.
• Maintain & Check stock to refill inventory
• Follow-Up with the pending tasks and duties for Mall Manager.
• Manage and monitor Mall Insurances.
• Manage and monitor Mall Tenants Insurances.
• Manage and monitor Tenants Sales collecting.
• Monitor Mall Footfall and generate monthly analyses.
• GLA Trading Stores Update
Job Requirements:
As an Office Manager, you need to demonstrate the following Quailties, Knowledge & Skilles:
Minimum Qualifications and Knowledge:
• Bachelor degree essential
• English and Arabic fluent skills
Minimum Experience: 
• 3-5 years relevant experience in a shopping mall/hotel especially with back ground in operational management, customer service and authority relationships
